Privacy Policy

O.W.L.- Outdoor Wisdom & Learning takes your personal privacy seriously.

This privacy policy explains how your personal information is treated.  When engaged in activities with O.W.L. you consent to the collection and use of your personal information in accordance with this policy.  Any changes to this policy will only be notified on this page.

This policy is effective from 25th May 2018 and covers data being used by countries that are located within the geographical definition of the statement (see GDPR details for more details).  It also covers data that is generated within these boundaries and then removed by parties who exist outside of the geographical definition.

The personal information that will be collected:

  • Name
  • Date of birth
  • Residing post code
  • DBS number
  • Contact information including email address and telephone number

What O.W.L. does with the gathered information

This information is required to confirm your identity and to check matters regarding safeguarding.  By supplying the information, you are consenting to O.W.L. keeping it for a reasonable period of time and using it for the purposes set out below:

  • Internal record keeping
  • Proof of identity
  • Safeguarding checks
  • Communications regarding training and coursework
  • Information about continuing training days

Disclosure of your personal information to another organisation or third party

O.W.L. will never knowingly disclose any information that is held about you to another party unless there is a legal basis for it and it complies with the GDPR.

Your Rights

As of the 25th May 2018 you will have the following rights under the new GDPR.

Controlling your personal information

You already have certain rights under current data protection legislation, including a right to request a copy of the personal information that O.W.L. holds on you.

Right to correct

You have the right to have your personal information rectified if it is inaccurate or incomplete.

Right to erase

You have the right to request that O.W.L. deletes or removes your personal information from its systems where this complies with the GDPR.

Right to restrict our use of your information

You have the right to 'block' O.W.L. from using your personal information or limit the way in which it is used.

Right to data portability

You have the right to request that O.W.L. moves, copy’s or transfers your personal information in compliance with the GDPR.

Right to object

You have the right to object to O.W.L. using your personal information including where it is used for legitimate interests.  If you raise an objection O.W.L. will stop processing your personal information unless very exceptional circumstances apply, in which case O.W.L. will let you know why it is continuing to process your personal information.

O.W.L. will use reasonable efforts in-line with its legal duty to provide you with your rights in accordance with the data protection legislation.

Your data security and confidentiality

Keeping information about you secure is very important to O.W.L. so it is stored and processed in accordance with the high standards required under data protection legislation.

O.W.L. does its best to keep the information you disclose secure by putting in place suitable physical, electronic and managerial procedures to safeguard and secure the information held.  However, O.W.L. cannot 100% guarantee security, especially that of the systems created by others.  You accept the inherent risks of providing information and will not hold O.W.L. responsible for any breach of security related to systems created by others.

Statement from ProtonMail-

ProtonMail stores user data exclusively in European countries with strong privacy protections such as Switzerland.  This means that unlike Gmail, ProtonMail does not fall under the jurisdiction of intrusive US laws (such as the Foreign Intelligence Surveillance Act) and cannot be coerced into working for the NSA.  With ProtonMail, you can be certain that your data always remains in Europe, in full compliance with EU privacy regulations.  ProtonMail’s approach makes us compliant with Article 25 of the EU General Data Protection Regulation (GDPR) which mandates that services adhere to the principle of Privacy by Design.

Zero-access encryption means that even if a complaint is brought in a Swiss court that meet the high requirements for data disclosure, only encrypted emails could be handed over.  As a Swiss company, ProtonMail cannot be forced to hand over data in cases of US or EU civil litigation.

Where we use your information for direct marketing for our own Services, you can always object and opt out of future marketing messages using the unsubscribe link in such communications, or by using our in-app "Block" feature.

O.W.L.’s website may contain links to other websites of interest.  However, once you have used these links you should note that O.W.L. does not have any control over that other website.  Therefore, O.W.L. cannot be responsible for the protection and privacy of any information which you provide whilst visiting such sites and such sites are not governed by this privacy statement.  You should exercise caution and look at the privacy statement applicable to the website in question.

How long do we keep your personal information?

Personal Information is retained no longer than is required or permitted by law, O.W.L. will only hold your personal information on its systems for the period necessary to fulfil the purposes outlined in this Privacy Policy or until you request it to be deleted.  If, having registered for any of O.W.L.’s services, you do not use them for a reasonable time (which may vary depending on the service(s) you've registered for) O.W.L. may contact you to ensure you're still happy to receive communications.
